Turn a Bulk Order Into a Supplier-Ready Excel Sheet with Product Photos
When you send a bulk order to a supplier, a plain text list invites errors. Items get confused, quantities get swapped, and back-and-forth emails eat time. Attaching product photos alongside SKUs and quantities removes that ambiguity. snapNsheet reads screenshots of your product list and produces an Excel file with each product photo embedded directly in its row, so your supplier sees exactly what you mean.
The process works from any screen you can capture — a saved cart, a wholesale catalogue page, a wishlist, or a manually assembled order. You upload the screenshots, snapNsheet extracts the data, and you download a structured .xlsx file ready to attach to your supplier message or purchasing workflow.
What this screen looks like
A typical screenshot for a bulk order to supplier task shows a product grid or list view with thumbnail images, product names or codes, unit prices, and quantity fields already filled in. Some screens also show a subtotal or line-total column. The screenshot might come from a wholesale portal, a B2B cart, or even a saved wishlist you have adapted into an order — as long as the key fields are visible and not cut off at the image edge, snapNsheet can read them.
When people use it
- You have built a large restock order inside a wholesale portal and need to forward it to your supplier as a structured Excel file with product photos attached.
- You are sourcing from multiple product pages and want to consolidate screenshots into one bulk order sheet before contacting the manufacturer.
- Your supplier requires a formal purchase list with images to avoid mix-ups on similar variants; you need to produce that document quickly without manual data entry.
Why doing it by hand hurts
- Copying product names, codes and quantities by hand from a wholesale cart into a spreadsheet takes hours and introduces typos that cause costly fulfillment errors.
- Inserting product photos manually into Excel cells — resizing, aligning, linking each one — is tedious work that most teams skip, leaving suppliers to guess from names alone.
- Maintaining a bulk order to supplier list across multiple emails and spreadsheet versions creates version-control problems; the supplier often works from outdated quantities or wrong items.
How it works
- 1
Screenshot your product list
Capture the screens that show your order — cart pages, catalogue rows, or wishlist views. Make sure product names, quantities, and prices are fully visible and not obscured. snapNsheet accepts PNG, JPG, or WEBP files up to 8 MB each, and you can upload up to 10 screenshots per conversion.
- 2
Upload and let AI extract the data
Upload your screenshots at snapnsheet.com. The AI reads each row, identifies the product photo, name, quantity, unit price, and line total. Detected rows appear on screen before you download anything, so you can confirm the extraction looks correct.
- 3
Download and send the Excel file
Click download to get your .xlsx file. Each product occupies one row with its photo embedded in the cell, making it immediately usable as a bulk order to supplier document. Attach it to your email or purchasing system without any further formatting work.
What you get in the Excel file
- One row per product with the cropped product photo embedded directly in the Excel cell.
- Product name as it appears in the screenshot, including variant details.
- Quantity and unit price columns, with EUR, USD, and GBP prices recognised automatically.
- A line-total column and a grand-total formula calculated automatically at the bottom.
- A saved list in My Lists for 90 days, shareable with a read-only link for colleagues or the supplier.
Frequently asked questions
How many products can one bulk order conversion handle?
snapNsheet extracts up to 75 products per conversion and accepts up to 10 screenshots at once. If your bulk order to supplier list is longer, split it across two conversions and combine the downloaded sheets in Excel before sending.
What if some prices are hidden behind a login or cut off at the image edge?
Prices that are not visible in the screenshot cannot be read — this is a firm limit. Make sure the price column is fully on screen before capturing. If your wholesale portal hides prices until checkout, screenshot the checkout summary page instead.
Does snapNsheet connect to my wholesale portal or supplier system directly?
No. snapNsheet works only from screenshots you upload. It does not log into any store, access account data, or integrate with supplier platforms. You capture the screen yourself and upload the image file.
Can I include products from different supplier catalogues in one sheet?
Yes, but best results come from one consistent layout per upload. Mixing very different page formats in a single batch can reduce accuracy. Uploading each catalogue's screenshots separately and then merging the Excel files gives cleaner output.
How long is my bulk order list stored, and can I share it with my purchasing team?
Lists are stored in My Lists for 90 days from the date of conversion. You can generate a read-only share link and send it to colleagues or a supplier contact so they can view the detected rows without downloading the file themselves.
